How an Ohio Wine Lounge Turned Regulars Into Members

Uncorked Wine Tastings replaced paper punch cards, manual lookups, and guesswork with a membership platform their staff actually wants to use.

The situation

Uncorked Wine Tastings is a wine lounge in historic downtown Dublin. Good wine list. Loyal crowd. They wanted to formalize what was already happening naturally: regulars showing up consistently, exploring the list, and bringing friends.

A wine club made sense. But the tools available didn’t.

Most membership platforms are designed for large-scale e-commerce or national chains. They charge per-member fees that don’t make sense for a single-location venue still building its base. They handle either payment processing or member engagement, rarely both. And none of them talk to the systems a tasting room already runs on.

Uncorked didn’t need a platform built for someone else’s business. They needed one built for theirs.

What members get

An app that replaces the paper. Members open the app and see exactly where they stand: their membership tier, how many tastings they’ve used this month, and how many are left. No asking the bartender. No digging through emails. No loyalty cards to lose.

A wine passport. Every tasting gets tracked. Members build a record of what they’ve tried, see what’s new, and earn rewards as they go. It turns a casual visit into ongoing discovery.

Receipt scanning. Members snap a photo of their receipt and the app reads it automatically. No manual entry, no waiting for staff to update a spreadsheet.

Wine list and tasting notes. The full wine list is browsable in the app with tasting notes for every bottle. Members can save favorites and revisit past discoveries. The list works even without cell service — useful in any tasting room with thick walls or a basement bar.

Events and announcements. Upcoming tastings, special events, and venue updates arrive through push notifications. Members hear about what’s happening before it shows up on social media.

Self-service signups and billing. Members join online, pick their tier, and manage their own subscription. Upgrades, cancellations, and payment updates happen without a phone call.

What staff get

One scan. One tap. When a member walks up to the counter, staff scan the QR code on their phone. The screen shows the member’s name, tier, and exactly how many redemptions they have left this month. One tap marks it done.

No binder. No spreadsheet. No “let me check on that.” The interaction takes seconds, not minutes. It works on any phone or tablet with a camera.

No double-counting. The system tracks redemptions in real time. If a member has already used their monthly tastings, staff sees it immediately. No awkward conversations. No manual reconciliation at the end of the month.

What the business gets

A membership program that costs almost nothing to run. The platform is built on pay-as-you-go cloud services. At small volumes, the operating cost is a few dollars a month. As membership grows, costs scale proportionally. There are no per-member licensing fees and no minimum commitments.

Payment processing that runs itself. Signups, renewals, upgrades, and cancellations are handled automatically. The venue doesn’t process or store credit card numbers. Failed payments trigger automatic retry sequences. Staff doesn’t chase invoices.

A system that works with what you already have. The platform connects to the venue’s existing point-of-sale system. Staff don’t learn a new workflow — the membership check happens alongside what they’re already doing at the counter.

Multiple membership tiers. Silver, Gold, and Platinum levels with different benefits and price points. The app shows members exactly what each tier includes, making upgrades a natural conversation rather than a hard sell.

Data without the data project. The venue knows who their members are, how often they visit, what they drink, and when they’re most active. That information lives in the system already — no surveys, no manual tracking, no separate analytics tool.

Why it works for a tasting room

Most software is built for the general case. This was built for the specific one.

A tasting room isn’t a retail store. The counter interaction is social, not transactional. Anything that slows it down — pulling up a spreadsheet, flipping through a binder, asking “what’s your last name again?” — breaks the feel of the experience.

The member app gives guests control over their own information. The staff tool keeps the counter interaction fast and natural. The backend handles billing and tracking invisibly. Nothing gets in the way of the actual reason people show up: the wine.

The system was also built to start small. A venue launching a membership program doesn’t know if 20 people will sign up or 200. The platform costs almost nothing at 20 and handles 200 without changes. That’s the right shape for a first-year program where the goal is to learn what works before committing to scale.
